Introduction
1. Bookings
1:1 Upon booking confirmation, a non-refundable deposit of 30% is required at the time of booking. You will receive a formal invoice stating the amount to be paid.
1:2 The remaining balance must be settled between 6 weeks prior to the tour departure date.
1:3 Please note that the deposit amount and time frame for the balance may be subject to adjustments based on varying suppliers such as hotels and airlines policies.
1:4 For bookings made within 30 days of the departure date, full payment is required at the time of booking.
2. Price Variation
2:1. The prices indicated are applicable for the specified periods; however, they are subject to modification without prior notice in response to Government actions, such as increases in, Park and conservation fees, hotel taxes or VAT, or in cases where prices are substantially impacted by unforeseen circumstances beyond our influence. These prices are calculated based on the prevailing exchange rates at the time of publication and may change if there is a significant fluctuation in exchange rates.
2:2. Prices indicated on our website or social media handles are based on fares and other costs prevailing at the time of publication of the price lists and are subject to change without notice if fares or costs vary.
2:3 All prices and services are subject to change and availability.
3. Payments
Glamping Africa Tours Ltd accepts payments in Kenya Shilling and US dollars and through various modes of payment including cash, bank transfers, and credit card payments.
3:1 Bank Transfers: Glamping Africa Tours Ltd. will share the bank details on the invoice. Where payment is made by a bank transfer, ALL bank charges are to be paid by the client.
3:2 Credit Card: All credit card payments will attract a surcharge of 3%. Pesapal offers safe, reliable, and user-friendly option for collecting credit card payments. VISA, MasterCard, Amex are pesapal supported.
4. Cancellation Policy
4:1 The subsequent cancellation charges are applicable. In the event of a cancellation, it is imperative that you promptly communicate this to Glamping Africa Tours in writing. In such
circumstances, the deposit is non-refundable. Cancellation fees are as follows:
– Cancellation more than 90 days before the scheduled date: Deposit forfeiture
– Cancellation between 90 and 60 days before the scheduled date: 50% of the total cost
– Cancellation between 59 and 31 days before the scheduled date: 75% of the total cost
– Cancellation between 30 days and the day of departure: 100% of the total cost.
4:2 In the event of a cancellation necessitated by unforeseeable circumstances, including but not limited to terror threats, natural disasters, or health crises, most hotels will not impose
cancellation charges. Instead, they typically issue a credit note for any deposits made. This credit note remains available for clients to utilize during future visits. However, it is important to
note that any additional costs incurred due to changes in travel dates or other related factors during the rebooking process will be the responsibility of the guest
5. Safari Itineraries
5:1 The demand for Safaris is consistently high, leading to potential shortages in lodge and hotel accommodations during certain seasons. To ensure transparency and reliability, all bookings will be confirmed in writing, as we confirm beforehand, from our suppliers.
Kindly note the following important pointers
– Single rooms are available at an additional cost.
– Four-wheel, off-road tours, and safari vehicles or coaches will be provided according to the agreed itinerary, number of booked guests, and as confirmed to you in your booking confirmation.
– English-speaking chauffeurs and/ or tour guides will be at hand to ensure your trip works out as planned.
– Glamping Africa Tours Ltd reserves the right to employ the services of sub-contractors if deemed necessary.
5:2 In the unlikely and unfortunate event of mechanical problems, changes of the lodge, or adverse road conditions, Glamping Africa Tours Ltd reserves the right to adjust the itinerary,
including changing a route or game viewing without prior notice.
Glamping Africa Tours Ltd reserves the right to offer equal value alternatives or cancel the operation of any tour for the addition of value, comfort, safety, and convenience of all clients. Rarely do we have changes in itinerary and we request your understanding and flexibility, to ensure that your tour is unique and rewarding.
6. Liability
6:1 Glamping Africa Tours operates as a tour operator and does not possess direct ownership of airlines, hotels, camps/ lodges, or other travel facilities. Our primary role is to facilitate
reservations, hotel/accommodation bookings, and other travel services on your behalf, acting solely as your agent.
While we prioritize your safety, please take note of the following:-
a) The guests are subject to the additional terms and conditions stipulated by the providers of third-party services. Glamping Africa Tours will not be held liable for incidents such as death, injury, delay, loss, or damage resulting from any cause and in any manner, including acts of terrorism, natural disasters, government actions, negligence, accidents, errors, or omissions committed by third-party suppliers or independent contractors, their employees, or representatives, or events beyond our control, hence our strong recommendation that you arrange your own insurance to cover such eventualities.
b) It is imperative that you take personal responsibility for ensuring that you possess all the requisite travel documentation, including a yellow fever card, a valid passport for the duration of your journey, and any necessary visas. Visa requirements can change unexpectedly, and we strongly advise you to verify these requirements with the appropriate embassy or consulate before embarking on your trip.
c) All baggage and personal belongings carried by any traveller remain the sole responsibility of the traveller throughout the journey. Travellers are encouraged to consider securing separate baggage insurance coverage against loss or damage, as Glamping Africa Tours bears no responsibility in this regard.
d) Please be advised that Glamping Africa Tours retains the right to modify any of these conditions at its discretion and without prior notice. We continuously strive to provide you with the highest level of service and will ensure that any alterations align with our commitment to your satisfaction and safety.
6:2 The company remains committed to selecting service providers who, in our professional judgment, offer services of the highest quality while operating within the legal framework of their respective jurisdictions. We take all necessary precautions to guarantee your safety and enhance your overall travel experience.
7. Health, Safety, Ethics, and Privacy
7:1 Emergency Evacuation. While all the company safaris are insured with AMREF Flying doctors Evacuation cover, it is important to note that this ONLY covers air and ground evacuation
situations in case of a medical emergency and DOES NOT cover medical expenses. Hence the strong recommendation to have your Travel Insurance. In case of an Emergency or accident, the guest is requested to contact Glamping Africa Tours on +254 748 321 285.
7:2 Child Protection. Glamping Africa Tours condemns child exploitation in all forms. We insist on compliance with the Children’s Act and the Kenyan Constitution’s child protection provisions, safeguarding children from sexual exploitation, prostitution, or exposure to obscene materials. Non-compliance by any partner constitutes a contract breach, leading to immediate termination.
7:3 Customer Privacy. We hold customer privacy in the highest regard, ensuring it remains uncompromised throughout our operations. Our dedicated staff is extensively trained to conduct business with fairness and the utmost integrity. Our advertising is truthful and accurate descriptions of the travel services that we offer, devoid of any misleading statements or inferences. Clients’ financial and personal information are handled with utmost care and privacy.
7:4 Corruption. Glamping Africa Tours does not tolerate any kind of corruption or bribery, be it public, private or passive. We firmly advocate for transparency in all our interactions with our guests, suppliers, and authorities adhering to local and international anti-corruption standards, rules, and regulations
8: Safari Code
As part of our mutual contribution to responsible tourism, we encourage all our guests and clients to adhere to the following Safari Code.
– Respect the privacy of the wildlife as the park/ reserve/ conservancy is their habitat.
– Beware of the animals, they are wild and can be unpredictable.
– Don’t crowd the animals or make sudden noises or movements.
– Don’t feed the animals, it upsets their diet and leads to human dependence.
– Keep quiet, noise disturbs the wildlife and may antagonize your fellow visitors.
– Stay in your vehicle at all times, except at designated picnic or walking areas.
– Keep below the parks/reserve/ conservancy maximum speed limit (40 kph/25 mph).
– Avoid driving off-road; this severely damages the habitat.
– When viewing wildlife, keep to a minimum distance of 20 meters and pull to the side of the road so as to allow others to pass.
– Leave no litter and never leave fires unattended or discard burning objects.
– Respect the cultural heritage of Kenya, do not take pictures of the local people or their habitat without asking their permission, respect the cultural traditions of Kenya.
